Purpose / Objectives

This part time post is intended to provide administrative support in the process of developing and delivering University Projects and a project framework approach for SSIS. This role will help contribute towards SSIS achieving its agreed university wide objectives by providing administrative support for the Head of Business and Change Management and assisting with the development and delivery of change management initiatives across the department.

Principal Accountabilities

1. To develop and implement processes and systems to ensure the effective co-ordination and tracking of the project portfolio for SSIS.

2. Under the direction of the Business Operations Co-ordinator identify future development funding opportunities to support our strategic aims and to assist in the preparation of bids including the identification of resource requirements and collation of documentation.

3. To research intelligence re projects in the sector with similar aims and to feedback good practice in project management.

4. To assist with the development and collation of project plans and documentation developing project sites for communication.

5. To develop support materials for the training of staff in the SSIS project approach, including web-based information and guidance.

6. To support the head of Business and Change Management by providing a range of PA and administrative services including diary management, meeting organisation and secretarial services for project or other groups.

7. To contribute to the development of change management initiatives, developing strong links with the sections across SSIS and key departments across the University to facilitate efficient cross-team working.

8. To co-ordinate arrangements for staff development activities within the department.

9. To provide support within the Business Operations Unit in relation to Purchase Order, invoice processing, staff development course/conference/travel bookings and other administrative duties as agreed with the Business Operations Co-ordinator.

10. To employ a range of IT skills eg spreadsheets, databases, Microsoft office suite and project management software in order to manage and progress work efficiently.

11. Supporting Business Operations team in the processing of finance etc.

12. To assist in key SSIS operational activities e.g. Enrolment, Award Ceremonies

13. Any other tasks commensurate with the post as required by the Business Operations Co-ordinator.
